Returns Ledger

The Returns Ledger provides a clear and detailed view of the financials behind any return or exchange claim. While the main claim view shows all details necessary to process a claim, the ledger focuses specifically on the credits, debits, and balances tied to each transaction. This gives your team transparency into how money is being managed throughout the lifecycle of a claim.


The ledger view allows you to:

  • Quickly see how credits and deductions are applied for each claim.
  • Understand when a transaction results in a downsell (refund or store credit owed to the customer) or an upsell (additional payment collected).
  • Access clear accounting of gift card balances, handling fees, and item costs.
  • Drill into the financial side of a claim without cluttering the main claim processing page.

This functionality helps your team confirm accuracy, reconcile financials, and maintain confidence when reviewing claims.


  • Within a claim, click the money icon with a magnifying glass to open the Returns Ledger.
  • Displays the value of returned items, including taxes.
  • Includes any payments made by the customer during an upsell scenario.
  • Lists the cost of replacement items, handling fees, or other deductions applied to the claim.

Shows the net result of the transaction:

  • Negative balance: Indicates a refund or gift card owed to the customer.
  • Positive balance: Indicates additional revenue collected, often during an upsell.
  • Downsell: Customer exchanges for a lower-priced item. The balance may be returned as a gift card or refund.
  • Upsell: Customer selects a higher-priced item. The additional payment is processed and reflected in the ledger, often highlighted with a green badge to indicate added revenue.

Q: Do I need to use the ledger to process a claim?
No. All necessary claim details are available on the main claim page. The ledger is an optional drill-down for financial clarity.

Q: Can the ledger show payments collected through Stripe or other gateways?
Yes. Payments collected during upsell scenarios display in the credits section of the ledger.

Q: Is the ledger only for exchanges?
No. The ledger can be used for returns, exchanges, and scenarios involving gift cards, handling fees, or additional payments.
